Handyman invoice template
Every good handyman invoice answers the homeowner’s two silent questions: how much of this is your time, and how much is stuff you bought for me? Split labor and materials into separate lines — labor as hours × rate or a flat job price, materials listed with what they were — and the total explains itself. The builder below is preset that way.
The jobs are small but frequent, which makes friction the enemy: an invoice you can produce in the driveway, on your phone, before you pull away, beats one you’ll “send tonight”. This page works offline once loaded and remembers your details, so the second invoice takes under a minute.
Preset: labor + materials invoice
How it works
- Open this page — the invoice builder is already set up for “Handyman invoice template”.
- Fill in your details, the client, and your line items. The preview updates as you type.
- Everything is computed on your own device — totals, tax, the PDF itself. Nothing is uploaded.
- Click “Download PDF” and send the invoice to your client. Your details stay saved on this device for next time.
Materials: at cost, with receipts, or priced in — pick one and say so
The two honest models: materials at cost with receipts available (your labor rate carries your margin), or materials at retail-plus-pickup (your time in the aisle is real work). Both are legitimate; what erodes trust is silence. One sentence in the notes — this preset ships with it — settles the question before it’s asked.
For bigger jobs, the flow is estimate first, invoice after, with the invoice mirroring the estimate line by line and any surprises flagged as their own lines (“Additional — replaced corroded shutoff valve, approved by text Jul 9”). An invoice that matches the estimate to the dollar, plus clearly-labeled approved extras, is the paper trail that wins the review and the referral.
Good to know
- A minimum call-out charge (say, one hour of labor) is standard — show it as the labor line itself (“Labor — minimum service call”), not as a mysterious fee.
- Plumbing, electrical and HVAC work beyond simple repairs may require a licensed trade under your state or city’s rules — invoicing unlicensed work as “handyman services” doesn’t change what it was. Know your local line and stay on the right side of it.
- Repair and installation labor is taxable in a fair number of US states even where other services aren’t — worth one check of your state’s rules; start with our sales-tax overview.
Frequently asked questions
Flat rate or hourly for handyman work?
Flat prices for jobs you’ve done fifty times (fan install, toilet swap) — clients love certainty and you pocket your speed. Hourly for diagnosis and open-ended repairs where the wall decides the scope. Many pros quote flat for the known part plus an hourly rate that kicks in if hidden damage appears — put that split in the estimate and the invoice inherits it.
Do I add sales tax on materials I bought at the store?
You already paid sales tax at the register, and in many states passing materials through at cost (tax included in what you paid) is exactly right for a handyman-scale business. Rules differ once you buy wholesale for resale or your state taxes repair labor — a one-time conversation with your state revenue department or an accountant settles your case.
How do I get paid on the spot?
Put your fastest payment routes in the payment-details box — Zelle and check are the US home-services workhorses — and hand over or text the PDF while you’re still there. “Due on receipt” plus a payment method the client can use in thirty seconds is the whole secret.
